Technical/Administrative Assistant

Ministry of Planning and International Cooperation (MOPIC) is implementing a program titled "Increasing the resilience of poor and vulnerable communities to climate change impacts in Jordan through implementing innovative projects in water and agriculture in support of adaptation to climate change", composed of nine sub-projects executed by six national institutions. The overall objective of the program is to adapt the agricultural sector in Jordan to climate change induced water shortages and stresses on food security through piloting innovative adaptation technologies (treated waste water reuse, water harvesting, permaculture, etc) and utilizing ICT tools and early warning systems as adaptation means, and policy reform linked to agribusiness.

Specific tasks of the sought Technical/Administrative Assistant 
The Assistant will be part of the Program Management Unit (PMU), which is in charge of the management process of the implementation of the program being executed on-ground by the six executing entities. Under the supervision of the program manager, the Technical/Administrative Assistant would be responsible for assisting the PMU with specific technical as well as administrative day-to-day activities needed for the program implementation. The Assistant would carry out the following specific tasks without them being exhaustive:
·    Execute day to day work of the program’s admin/technical support such as, but not limited to, preparing memos, follow up scheduled and incidental tasks, review technical scripts and documents, etc;
·    Plan meetings and take detailed minutes;
·    Write and distribute email, correspondence memos, letters, faxes and forms;
·    Assist in the preparation of regularly scheduled reports;
·    Develop and maintain a filing system of the program;
·    Update and maintain office policies and procedures;
·    Order office supplies;
·    Liaise with executing entities and senior administrative assistants to handle requests and queries;
·    Conduct some follow-up work and visits mainly to executing entities’ premises.

Minimum qualifications and experience
·     B.S. Degree in business administration, or environmental sciences or environmental engineering or civil engineering (environment & water focus), or agricultural sciences or agricultural engineering, or any closely relevant field.
·    At least 3 years of related practical experience with emphasis on experience in projects/programs with international aid agencies;
·    Ability to work under pressure and demonstration of self-motivated persistent follow-up with diverse executing entities;
·    Committed to deliver high quality work on a timely manner; 
·    Very good oral and written competence in English and Arabic is required;
·    Strong interpersonal, communication and analytical skills.
·    Strong computer skills in MS Word, Excel and PowerPoint.

Terms of appointment:
The selected candidate will be appointed for an initial period of three months, extended thereafter on performance and professionality, and then on an annual basis for the remaining duration of the program.
